Review: Knowledge Management Days 2025 – AI-driven glossary as the key to modern knowledge organization

The Knowledge Management Days in Stuttgart have been one of the most important specialist conferences on digitalization, knowledge organization and the productive use of AI in companies for years. They bring together decision-makers, practitioners and experts to discuss the latest developments in knowledge work, enterprise search, collaboration, learning culture and AI-supported processes. The focus is always on the question of how organizations can use knowledge intelligently – in the interplay between man, machine and mindset.

Against this backdrop, Prof. Dr. Heiko Beier (moresophy) and Jens Conring (GVL) presented a practical insight into the introduction of an AI-supported knowledge management solution at GVL. The focus was on a continuously maintained, AI-controlled glossary, which serves as a central building block for systematically indexing and standardizing scattered knowledge and making it usable for employees.

The approach impressively demonstrated how an intelligent glossary:

• improves the quality of information queries,
• creates transparency about terms, processes and responsibilities,
• breaks down silos and promotes organization-wide understanding,
• and at the same time forms the basis for a compliant, responsible and productive use of AI.

Many questions and discussions afterwards showed how strongly the topic is currently anchored in organizations: structured knowledge management is increasingly seen as a prerequisite for being able to use AI reliably in everyday life. In particular, the approach of building AI on a common understanding of terms and clear responsibilities met with great interest because it is directly linked to existing challenges in practice.
